Why Organization Matters
You start with a few prompts. Then a few dozen. Before you know it, you have hundreds of prompts and bundles scattered across your library. Without proper organization, finding the right prompt becomes a frustrating needle-in-haystack problem.
Promptsy gives you three powerful tools to keep everything organized: folders for hierarchical structure, tags for flexible categorization, and semantic search for instant discovery.
Organizing with Folders
Creating Folders
Folders provide a hierarchical structure for your prompts, similar to how you organize files on your computer. To create a folder:
- Click the + icon in the folder sidebar
- Enter a name for your folder
- Choose a color (8 colors available) for visual distinction
- Optionally select a parent folder for nesting
Folder Structure Best Practices
Organize folders by workflow, department, or use case. Here are some examples:
By Department:
š Marketing
š Social Media
š Email Campaigns
š Blog Content
š Engineering
š Code Review
š Documentation
š Debugging
š Sales
š Outreach
š Proposals
š Follow-ups
By Workflow:
š Content Creation
š Research
š Writing
š Editing
š Data Analysis
š Collection
š Processing
š ReportingMoving Prompts Between Folders
Drag and drop prompts between folders, or use bulk actions to move multiple items at once. Select multiple prompts using checkboxes, then choose "Move to folder"from the bulk action bar.
Tagging for Flexibility
Understanding Tags
While folders provide hierarchical organization, tags offer flexible, multi-dimensional categorization. A single prompt can have multiple tags, making it discoverable from different perspectives.
Creating and Using Tags
When editing a prompt or bundle, click the tag input field and:
- Start typing to see existing tags that match
- Select an existing tag or press Enter to create a new one
- Choose from 10 vibrant colors for visual coding
- Add multiple tags to the same item
Effective Tagging Strategies
Use tags to mark:
- Content Type: #research, #writing, #analysis, #brainstorming
- AI Model: #gpt4, #claude, #anthropic, #gemini
- Complexity: #beginner, #intermediate, #advanced
- Quality: #tested, #high-quality, #needs-review, #favorite
- Status: #draft, #production, #archived, #experimental
Tag Management
From your workspace settings, you can:
- View all tags with usage counts
- Rename tags (updates all tagged items automatically)
- Change tag colors
- Delete unused tags
- Merge similar tags
Semantic Search
The Power of Semantic Search
Traditional search matches keywords. Semantic search understands meaning. Search for "customer complaints" and find prompts about "negative feedback" or "user dissatisfaction" - even if those exact words aren't in the prompt.
Using the Global Search
Press āK (Mac) or Ctrl+K (Windows/Linux) from anywhere to open the global search. Features include:
- Instant results as you type
- Search across titles, descriptions, and content
- Filter by folder, tag, or visibility
- View recent searches
- Keyboard navigation with arrow keys
Advanced Search Techniques
Combine search with filters for powerful queries:
- Search + Folder filter: Find all marketing prompts about email
- Search + Tag filter: Find all #tested prompts for content writing
- Search + Sort: Find most-used prompts matching your query
Team Collaboration Tips
Workspace Organization
When working with a team, establish conventions early:
- Naming conventions: Agree on how to name prompts and bundles
- Folder structure: Create a shared folder hierarchy everyone follows
- Tag taxonomy: Define standard tags and their meanings
- Quality standards: Use tags like #reviewed or #approved for vetted prompts
Sharing and Permissions
Control access with workspace roles:
- Viewers: Can see and use prompts, but not edit
- Editors: Can create, edit, and organize prompts
- Admins: Can manage members, billing, and workspace settings
- Owner: Full control including workspace deletion
Maintenance and Cleanup
Keep your library healthy with regular maintenance:
- Archive old prompts instead of deleting (use #archived tag)
- Review and merge duplicate tags monthly
- Update prompt titles and descriptions to improve searchability
- Use analytics to identify and improve low-performing prompts
